Absences
General Information
Student Affairs can serve as a liaison for students that are unable to communicate their absence to their instructors or faculty members. In non-emergency cases, students should contact their professors directly about their absence via email and/or in-person.
Requesting an Excused Absence
Step 1: Check your syllabus for information about how your instructor
Step 2: Notify your instructor/professor in writing prior to your absence or within two (2) business days of your absence when advanced notification is not possible.
If you have notified your professor and they are seeking confirmation from a University official you can submit an Excused Absence Request. Please note that submission of this form does not guarantee an excused absence and you will be notified accordingly.

Critical Incidents or Emergencies
TAMUQ is committed to providing an educational climate that is conducive to the personal and professional development of each individual. TAMUQ realizes that critical incidents or emergencies can occur and/or have a significant effect on our community.
During critical incidents or emergencies, University administration will work to:
- coordinate the University’s response to critical incidents involving students while paying special attention to the safety and security needs of members of the University community
- offer counseling, guidance, and appropriate support to members of the University community, their families and University care givers
- use critical incidents, when appropriate, as “teachable moments” which may enhance the quality of life for all those touched by critical incidents

How does TAMUQ get notified for a critical incident or emergency?
Call +974.4423.0333 to notify the campus. A member of our staff will be notified or contact the individual who has reported the incident/emergency.
International Student Services
For international students, study abroad students, visiting students groups, visitor visas, residence permits (RPs), to move a residency permit under Qatar Foundation, single exit visas, Hamad health cards, Qatari driving license, or letters from Qatar Foundation please contact jan.sweis@qatar.tamu.edu directly.
Living on Campus
All undergraduate and graduate students enrolled full-time at Texas A&M University at Qatar are eligible to live in the Qatar Foundation residence halls. Living on campus is a great way to get to know fellow students, engage in student life, and get the most from your University experience. Housing is filled on a first-come, first-served basis.

Student Conduct and Rules
Texas A&M University at Qatar students, that are currently enrolled, are expected to follow Texas A&M University rules and uphold the core values of respect, excellence, leadership, loyalty, integrity and self-less service. The Department of Student Affairs is committed in following an equitable process to involved parties and providing information about the steps involved in the student conduct process. Each allegation is documented and investigated to the fullest capacity and alleged violations can be submitted anonymously. The link provided above provides important information about student expectations and possible sanctions.
In order to report an alleged violation, students, faculty and staff may complete a Campus Community Incident Report.

Student Grievances
Texas A&M University at Qatar is committed to providing an educational and work climate that is conducive to the personal and professional development of each individual. To further that commitment, the university has developed procedures for students to pursue grievances within the university community.
Assistance with Student Grievances To ensure that students understand how to appropriately pursue a grievance at Texas A&M University, students are encouraged to seek clarification and advice regarding procedures before initiating a grievance. Although a student may seek such advice from any faculty or staff member, the Department of Student Affairs (053) has staff members trained to help students who have grievances. Students are encouraged to seek assistance from this office in pursuing any type of grievance.
Texas A&M University has developed procedures for various types of grievances to help guide students through any problem, issue or concern they may have. Filing Complaints with the Southern Association of Colleges and Schools Commission on Colleges
You may also file a complaint with TAMU's regional accrediting agency, SACSCOC. Complete the Commission's Complaint Form (PDF) and send two print copies to:

In most cases, these complaint procedures require the student to exhaust all complaint avenues internal to the institution before a complaint can be filed at the state or accrediting agency level. Students are advised to first attempt to resolve complaints with TAMUQ administration.

Student Travel
Student Organization Travel
Travel organized by a recognized student organization at TAMUQ requires the following steps:
- Submission of event request
- Submission of the CIRT Travel form for each traveler.
Local Travel
An academic department or university office organizing an optional travel program within Qatar are required to complete the following:
- Local Travel Registration Form submission by a faculty or staff member.
- Submission of the CIRT Travel form for each traveler.
International Travel
An academic department or university office organizing an optional travel program outside of Qatar are required to complete the following:
- Concur Travel Request with required attachments (airfare quote, travel request itinerary, etc.)
- Submission of the CIRT Travel form for each traveler.
**Travel that is part of an academic class requirement do not have submit any travel documents.
12th Man Student Emergency Fund
The 12th Man Student Emergency Fund is made available to current TAMUQ students who are experiencing food and/or housing insecurity. In order to be considered for this, a student must complete the 12th Man Student Emergency Fund Application and provide all required information to be evaluated. Information provided in the application is kept confidential and, if approved, only TAMUQ staff who are involved in providing support will be notified.
Some important notes to remember:
- The 12th Man Fund does not support ongoing living expenses such as phone service, clothing, medical expenses, travel, University fees, tuition, or other similar expenses.
- If approved, the Fund will only support food expenses for a maximum of two (2) semesters.
- If approved, the Fund will only support housing expenses for a maximum of one (1) semester in a Qatar Foundation residence hall room or two (2) semesters in a double occupancy residence hall room.
